Process automation

The repetitive work in your company, running on its own.

Prospectia builds automation with AI and without AI: from the routine that only needs a rule to the one that has to read, understand and decide. You choose how far to go.

Rules, routine and integration: what always happens the same way, without anyone having to remember it.

Simulate your process

Pick a process. See what becomes automatic.

Each step shows what is done by hand today and what starts running on its own. Flip the switch to see where AI changes the answer.

How far it can go

Nobody has to reach the moon on day one.
But it can be reached.

Automation grows in stages. Each one pays for the next, and none of them requires throwing away what you already use.

STAGE 01

Routine without AI

What always happens the same way becomes a rule: billing, alerts, checks, reports. No decisions, no surprises.

REAL EXAMPLEAn expiring security guard certification triggers a warning 30, 15 and 5 days ahead, straight to the supervisor.
STAGE 02

Systems talking to each other

Marketplace, ERP, finance and messaging exchanging data between them. The parallel spreadsheet stops existing.

REAL EXAMPLEAn order from the marketplace enters the ERP with customer, items and stock, in both directions, with no typing.
STAGE 03

AI reading and deciding

Documents, messages and leads pass through an AI that understands and decides within the limit you set. Anything outside that limit goes to a person.

REAL EXAMPLELeads captured from public listings are read, scored and worked by an automated SDR inside Prospectia's own CRM.
Real cases

Automations already running in real companies.

Seven mechanisms, each one running in a real company. The channel changes; the mechanism is the same.

Beklan

Marketplace and ERP speaking the same language

Beklan. Orders, customers, products, stock and invoices move between the marketplace and the ERP in both directions, kits and variations included.

Stage 02 - without AI
SER Franquia

A spreadsheet that became a system rule

SER Franquia. The quota spreadsheet is uploaded, validated and replaces the previous one; administrator tables and commissions follow the same rule.

Stage 01 - without AI
G6 Advisor

Contracts answered by AI

G6 Advisor. Documents in cloud storage are read by AI; the team asks in plain language and receives the answer with the source.

Stage 03 - with AI
G6 Advisor

Support that triages before a person does

G6 Advisor. A bot with three lead entry points understands, qualifies and hands over the history. The channel is a detail; the triage is the point.

Stage 03 - with AI
IGUASSEG

A staffing rota that protects itself

IGUASSEG. An expiring document triggers a warning, whoever is out of compliance leaves the rota, and the post appears for coverage.

Stages 01 and 02 - without AI
SobrouQuantoML

Real marketplace profit, per product

SobrouQuantoML. Marketplace fees, shipping and tax are reconciled sale by sale and become a P&L. The seller knows what was left without opening a spreadsheet.

Stage 02 - without AI
How it works

From today's process to a running flow.

01

Diagnosis

Prospectia maps the process as it works today, workarounds included, and measures how much time it consumes.

02

Flow prototype

Before hiring, you see the flow drawn and a section of it running on your own data. You decide by looking.

03

Build

Off the shelf tools where they solve it, custom code where it is critical. Always with a record of what the automation did.

04

Monitoring

Automation live, with failure alerts and support through the Prospectia Helpdesk, 24 hours a day.

Frequently asked questions

Questions before automating

Automation with and without AI: what is the practical difference?

Without AI it is a rule: whenever X happens, do Y. That covers billing, checks, alerts and integration between systems. With AI, the automation reads unstructured input, understands it and decides within a defined limit.

Do we have to replace our systems to automate?

No. Automation connects what already exists: spreadsheets, ERP, messaging, marketplaces, email. Replacing a system is only recommended when it is the real obstacle.

Will the AI make decisions on its own inside our company?

Only where you authorise it, and with supervision. Every AI automation from Prospectia has a clear limit on what it decides alone and what goes to a person.

How much does an automation cost?

It depends on how many systems are involved and whether AI is part of it. Simple routine automations sit in the range of a small system; flows with AI and several integrations cost more. The scope is closed in the proposal.

What happens if the automation stops working?

Every automation delivered comes with monitoring and a support channel, the Prospectia Helpdesk, staffed 24 hours a day. When something fails, a person is alerted rather than the failure passing unnoticed.

Do you use n8n, Zapier or custom code?

All three, depending on the case. Off the shelf tools when they solve it well and cheaply; custom code when the flow is critical, high volume or when the tool would become the bottleneck.
